EXHIBITOR POLICIES

Exhibitors (including demo zones) and caterers should read, and adhere to, our general policies as well as these addition policies below.

PASSES

Your exhibitor pass grants you access to the entire show, during public hours and during setup/pack down times. You will be given a number of passes according to the amount of space you have. A limited number of additional passes are available to purchase at a discounted rate, please contact Mark if you would like to order some.

SETUP/PACK DOWN

  • A Traffic Management System will be in place during AireCon. You will need to drive to the holding area at Dragon Road before coming to the venue during set up times. You will then be directed down to the venue for unloading and setup.

  • During setup you should check in with our Floor Manager before unloading or starting to set up, they will also give you your exhibitor passes.

  • Your stand must be contained within the boundaries marked on the floor.

  • Please take all rubbish and stock with you at the end of the convention, we will provide you with a bin bag to aid in this.

PROMOTIONAL MATERIAL

Any promotional material must be kept within your stand or the designated flyer area near the library.

You are not permitted to hand flyers out, erect banners or put posters up outside of your area without prior, explicit, permission from one of the AireCon directors. If you are interested in more marketing opportunities it may be worth considering one of our sponsorship packages.

PARKING

We are pleased to be able to offer free parking to all exhibitors, information about where to park will be sent in an email to all confirmed exhibitors shortly before the event. You must display a valid parking permit that will be included in the pre-event information at all times. Vehicles are left at your own risk.

SECURITY

Whilst the exhibitor hall is closed it will be shut down for public access. However, anything left at your stand is done so at your own risk. The Demo Zone is in an open area, whilst you can leave belonging at your table, you do so at your own risk.
